Front Desk Receptionist
OVERVIEW
Asthe first point of contact for the agency, based in our Coral Gables location, thefront desk personnel shall facilitate positivecontact and communication between visitors and agency staff and/or financialrepresentatives by physically or virtually greeting visitors at multiple officelocations. In addition to fielding incoming phone calls,he/she will also offer support by performing administrative and clerical tasks,including the handling and distribution of correspondence.
RESPONSIBILITIES
● Physically orvirtually greet and welcome all visitors and direct them to the appropriate staff, agent, or registered representativevia the Virtual Assistant system.
● Notify appropriate personnel when a visitor with anappointment arrives.
● Ensure receptionand waiting area are tidy, presentable, and properly stocked.
● Answer, screen, andtransfer incoming phone calls, and take messages when necessary.
● Monitorand order office supplies when necessary.
● Process, sort, anddistribute all incoming mail and prepare outgoing mail for pickup, includingassessment of supply delivery. This includes facsimiles.
● Create UPS Waybillsrequested by staff or representatives as directed.
● Coordinatingbuilding access for new hires.
● Administeringcurrent floor plan, including office assignments and conference room reservations.
● Serve as a backupfor processing and mailing securities (MMLIS) checks received pursuant to Home Officepolicy.
● Perform clericaland administrative services for staff and agents as needed and related toduties as assigned by management.

SALARY: $40K-$45K
